Introduction to Time Tracking

TripLog Time is a timesheet- or project-based time tracking app that lets users log their time using either a timesheet or a project duration system. The interface syncs with the cloud so users and admins can generate reports and monitor timesheets. Approval management integration is available with our Enterprise version to streamline timesheet approval. Available on iOS version 9.0 and Android version 4.0 or later.

Time Tracking Setup

Enable time tracking on your web dashboard, under the billing options, to add Time to your account. You can then turn on Time on the components page, under Manage Settings.

Choose Your Time Tracking Mode

You'll be given the choice of timesheet or duration tracking. This selection will configure how you track your time. You can change this option later in settings.

You can choose to place the Time menu on the home screen through the options. This will replace Fuel on the main screen. If you turned off fuel tracking, the Time module will be available there by default.

Go to the TripLog app > Main Menu (three line icon ≡) > General Settings > Time Settings > Show on Home Screen


Select Time as the primary option (you can always switch back to the Fuel option later)

Using Time Tracking

Add Job Activities

You can add a job activity that lets the user categorize the work performed, with a name and, if applicable, an hourly rate. Users can add job activities in the app, and admins can make job activities available to users in the app from the web dashboard.

Job Activities: when entering a new job activity, you'll need to provide the name, choose a category color, the hourly rate, and the default clock-in reminder. (This edit screen also lets you disable job activities that are no longer needed)

Hourly Rate: this is a value that can be associated with the specific job activity, which will automatically calculate the total cost of the time entry on the reports screen.

Clock-Out Reminder: when a user uses the job activity and has an active time entry clocked in, they'll receive a reminder that they're still clocked in on the app. This value can be changed, but the default is 8 hours.

Clock In and Out

A user can clock in with Time in the app by navigating to the time tracking page and selecting the green button at the bottom of the screen.

Clock In

This will take you to a time entry screen where you can select the correct job activity and add the location, tags, or notes, and click the Clock In button. This will return you to the time tracking screen to see the entry with a running timer.

Clock Out / Edit Time Entry

You can click the red Stop button to return to the time entry edit screen. From there, the end time and duration will be filled in automatically, and you can add additional tags or notes and then click Save.

Note: if connection issues occur while using the time module, time collection will continue to work in the background. The information will remain accurate once you reconnect.

You can return to a time entry to update its fields. You can add a location, tags, notes, attach a photo, or change the job activity. Remember to click Save to update the time entry. If you want to complete the time entry and clock out, make sure to update the end time. The duration will update based on that end time

Add a Manual Time Entry

You can manually create an entry if your account isn't locked. You can click the green Start button and update the Date, Start Time/End Time, and Duration fields to manually correct a missed clock-in or other prior time that wasn't recorded.

Duration Entry

If you chose to use the duration tracking option, you'll select the job activity and duration to create time blocks for the tasks being logged. You can still update the time entry with locations, tags, and notes, as well as attach a photo.

Time Tracking Setup

Enable Time Tracking

Setting up time tracking is as easy as opening the menu in the app and turning on the Time Tracking trial for existing customers. If you're a new customer, the time tracking module is enabled during your trial period.

Open the Time menu in the app or on the web to turn on time tracking. There may be an additional cost for using time tracking mode, depending on the service you're currently subscribed to. See the current pricing page for more information (Pricing Page)

Choose Your Time Tracking Mode

You'll be given the choice of timesheet or duration tracking. This selection will configure how you track your time. You can change this option later in settings.

Time Tracking on the Web Dashboard

Calendar View

A graphical view of timesheets. Only one user can be viewed at a time. It lets you view time entries and approve entries by user.

  1. Period view: change the range displayed by Day / Week / Month

  2. Add time entry: manually add a time entry or clock in if enabled

  3. View filter: only 1 user can be selected at a time

  4. Optional approval management interface for submitting and approving time entries with Enterprise. (Note that approvals are based on the current view)

  5. Calendar view of the user's entries shown graphically. Note: duration entries snap to the 12:00 AM slot, so they may not be visible

List View

A detailed view of all time entries with a search filter designed to quickly find the entry you're looking for. This view lets you see time entries across the entire organization and view all users at the same time.

Advanced filters are available to drill down into a specific activity or location.

Using Time Tracking

Add Job Activities

Time Tracking Reports

When time tracking is enabled, reports are available under Reports > Time Clock

The Time Clock report will show hour totals by job activity. It will total the hours and also the hourly rate if entered, based on the recorded amount. If no job activity was selected, the entry will be categorized under the default job activity

The filter at the top lets you customize the report summary view by specific users or job activities.

Overtime Report

The overtime report is based on the user's total for the period and the overtime rate.

Advanced Time Options

With Time, there are additional settings that let you customize your time setup. You can find these settings under Manage Settings > Time Policies.

Company-wide Time Tracking Mode: Let Users Choose, Clock In/Out, or Duration

  • Let Users Choose: users will be asked to select the clock-in entry type

  • Clock In/Out: users will have start and end time values for the clock-in and clock-out fields, plus the total duration

  • Duration Only: users will enter the total time per activity, but without a start or end time

Clock Rounding

Configure all settings so time entries align with your company's policies.

  • To the nearest 5 minutes

  • To the nearest 10 minutes

  • To the nearest 15 minutes

First Day of the Week

Option to configure the day your week starts for the calendar view, also included in overtime calculations.

Lock Time Entry Start/End Time and Location

When users clock in or out, the app will automatically apply the current time and look up the current location to apply to the time entry. Users won't be able to modify the clock-in time or location.

Location Field Is Required

The location will be automatically looked up when the time entry is created and it can't be saved until it's updated. Without the time and location lock on the entry, this field can be manually updated by the user.

Enable Auto Start After Clock In

With this setting, auto start will switch to standby mode once the user has clocked in. When the user clocks out, the app won't automatically track trips. The app's current behavior is to show that auto start is disabled.

Automatically Classify Trips Based on Clock Status

Automatically classifies trips (Business/Off the Clock) based on clock status, regardless of any other auto-classification rule.

Notify Manager/Admin on Clock In/Out

A configurable option to notify company managers or admins when a user clocks in or out.

Calculate Overtime

Enabling overtime options will give you configurable parameters to calculate overtime according to your local or company requirements.
