TripLog for Accountants

TripLog for Accountants is a set of features within TripLog Web Dashboard designed for use by accountants to easily keep track of their client’s business mileage and transactions. The goal of this article is to provide a step-by-step guide for setting up and mastering the TripLog for Accountants features.

Note: for most common applications, you will want to add additional users for normal Teams and Enterprise functionality.

Initial Setup

To set up your Accountant Triplog Account, you will need to register for an account with TripLog. If you received an invite to be an accountant, follow that process to set up and register your account, the link will automatically be created.

Set up for Accountants (Invite Clients)

If you are an accountant who wants to keep track of your client’s business mileage and transactions using TripLog, please first register an account with TripLog if you have not already done so, then follow these instructions:

  • Access your TripLog Web Dashboard and navigate to the Performance Dashboard (TripLog Web > Dashboard > Performance).

  • Click ‘TripLog for Accounting’ in the top right corner. If you do not see the link, select a timeframe in the filter with no data.

  • Once selected, you should see the following pop-up, select invite clients

  • Enter your client’s first name, last name, and email address in the appropriate fields. If you would like to send a custom subject line and email content to your client to explain why you want them to use TripLog for Accountants, you may do so by entering the subject line and content in the circled fields below:

  • Check the box if you intend to pay for your client's access to the TripLog product. Leave it unchecked if the user will pay on their own.

  • Click Send Invite when done, and the Client will receive an invite to sign up for TripLog.

  • Upon receiving the email, the client will be presented with a link to register a new TripLog account (or log in to TripLog if they already have an account)

TripLog Accountant (Invite Accountant)

This process is to invite your accountant to have access to your TripLog account and data to be able to view and run reports on demand. (Note: You will not be able to restrict the view of data in the account they have access to. Please continue if this is what you desire.)

  • Access your TripLog Web Dashboard and navigate to the Performance Dashboard (TripLog Web > Dashboard > Performance).

  • Click ‘TripLog for Accounting’ in the top right corner. If you do not see the link, select a timeframe in the filter with no data.

  • Select the link at the bottom of the pop-up

  • Enter your accountant's first name, last name, and email address in the appropriate fields. If you would like to send a custom subject line and email content to your accountant to explain why you want them to use TripLog for Accountants, you may do so by entering the subject line and content in the circled fields below:

  • Click Send Invite when done, and the Accountant will receive an invite to sign up for TripLog.

Billing

TripLog for Accountants is free for the accountant if there are two or more Active Paid Clients connected to the account. Depending on the agreement you make with your client, you can choose pay for the client’s TripLog account, or the client can pay for their own account.

To set which account will be paying for the client’s TripLog subscription, please log in to to https://triplogmileage.com/, then navigate to the billing page under Manage > Billing. Upon navigating to the page, you will be presented with a page similar to the following:

If you would like to pay for your client’s account (example would be an value-add package with Mileage Tracking then please set ‘Paid by Me’ for the client to ‘YES’. This will contribute to the total for the Pay Next Bill area

If the client will be paying for the service on their own please set ‘Paid by Me’ to ‘NO’. This will active their billing page to view and pay their own bill.
