Introduction:
In the previous videos we explained how to record mileage and use the app. In this video we will look at expense tracking and reporting.
Getting started
If your organization has enabled the Expenses feature, you will be able to access the transactions tab in the app. If you do not see it right away, it may be inside the "Show more" section. You should see Transaction and/or Fuel options in your app, depending on the options your company has enabled. If you do not see them, you may need to perform a full data sync or verify that you are signed in to the correct account. If you believe an option is missing, contact your administrator to check whether the TripLog expense capture module has been enabled.
To briefly review a few basic settings, if you have not granted the necessary camera or storage permissions, you may need to enable them to properly use features such as automatic receipt capture. For more information, see the previous videos on required permissions.
Transaction
To start capturing a transaction, you can click the blue plus symbol to add a new transaction. You can enter the information manually or import a receipt. When using automatic receipt capture, you have the option to take a live photo or use a photo from your device's gallery. If you have not granted camera or storage access, you will be prompted to do so. Accept and continue. Receipt capture is an optional service, so you may not see this option if your company has not enabled it.
When accessing your gallery, you may need to navigate to the location where the photo is saved; this can vary depending on your device and operating system.
Capturing the transaction
When using live capture, make sure the surface is well lit and the receipt is ideally flat and in focus. The app will prompt you to crop the image and submit it. Once submitted, it will attempt to import the data from the image using optical character recognition (OCR). Validate the imported data before saving, since variation in print quality on some receipts could result in incorrect information.
Once saved, you can update the correct or additional expense information and save it. The app only allows standard images to be imported from the gallery. If you need to attach other documents, such as PDF receipts, you will need to use the web dashboard to upload them as-is. One tip, if you only use the app, is to take a screenshot of the document you need to attach so you can use it in the app.

Note that if your organization has spending limits or expense requirements, such as receipts or tags, you will receive an error and a note to correct the expense that has the issue. If you have additional questions, contact your TripLog administrator for help.
Expense Capture

Transactions
Transactions range from vehicle-related expenses to business or personal expenses. Note that vehicle-related expenses do not have an associated business activity. Therefore, if there is no cost associated with operating the vehicle, you may need to create an activity for the Business category.
When adding a transaction, you will be able to import a receipt to automatically fill in the Total, Date and Merchant fields of the record. You can use an existing photo or take a live one to import. After the automatic import and OCR, the receipt will be attached to the transaction record.
You can also update and enter all the details manually if you do not have a receipt, or simply if you need to add the expense and attach the receipt later. Remember that your organization may require a receipt to be attached before the expense can be submitted for reimbursement. Check with your company administrator on what is required.

Fuel
Fuel transactions are specific expense items that let you capture particular fuel information on the recorded expense. Fields such as cost per gallon/liter or total gallons/liters will only be visible on the Fuel tab. The fuel record will appear in the Transactions menu, but will show less information.
Additional fuel fields
Vehicle - Related to the vehicle you are fueling
Odometer - Taken from mileage, this is the current odometer at the time the transaction is created. If you are entering a past transaction, you may need to update it.
MPG (fuel economy) - Measures fuel economy when purchases are marked as full fill-ups. It uses total gallons against the miles driven.
Taxes - Associate taxes with the fuel transaction if you have any location-based exemption
Location - Can be added after the purchase, but will let you mark the location if recorded live.
