Mileage Tracking FAQs

Answers to frequently asked questions about mileage tracking: GPS accuracy, trips vs. legs, the odometer link, tags and notes, and data storage.

My Driving Route Seems to Jump All Over the Road and Isn't Accurate Enough

The TripLog app reads the device's GPS information every second. The app calculates the distance traveled up to the last second and adds it up to get the total mileage. This makes the total mileage captured very accurate.

The trip lines shown are drawn from data collected every 2 minutes (configurable); the app saves the GPS coordinates and speed at that point and records them in the database. The app then uses that data to plot the driving route on the map (the blue circles are the actual fixed GPS readings). This can make some routes look inaccurate, since they form a straight line from one point to another.

Due to storage limitations on some devices, there's a limit to the number of points that can be saved. The highest-resolution setting available is 2 minutes between collected points. You can reduce this to 5 or 10 minutes per point, but it will lower the resolution of the route. You can also turn this feature off.

Trips vs. Legs

In the TripLog app there are no legs or stops, only trips. A trip with two legs, meaning the points A => B => C, is represented as two trips: A => B and B => C. There's also no "round trip"; instead, you would create two trips: A => B and B => A.

The Pause button doesn't mark a location; it only temporarily turns off the GPS to save battery. Locations are only identified when you start and stop trips.

The App Seems to Keep Running in the Notification Bar

The TripLog icon in the notification bar indicates that the app is using GPS to record mileage. To stop the trip, open TripLog and then tap the Start or Stop Trip button to open the trip recording form. Click the Stop button with the red square icon.

In MagicTrip mode, the TripLog notification can't be cleared. This is because the app needs to run in the background to monitor speed, even when you're not driving. Otherwise, the Android system will force-close the app.

Odometer Link

The odometer link keeps the start and end odometer tied to the "Miles Driven" field.

Odometer Link off: changing the start or end odometer value will increase or decrease the trip's mileage (distance traveled).

Example:

Before:
Start odometer 1000 miles
Distance traveled 10 miles
End odometer 1010 miles

After:
Start odometer 1005 miles
Distance traveled 5 miles
End odometer 1010 miles

Changing the start odometer to 1005 miles won't affect the end odometer of 1010 miles, but it will make the mileage (distance traveled) 5 miles

Odometer Link on: changing the start or end odometer value will NOT increase or decrease the trip's mileage (distance traveled), but it will change the other odometer value accordingly

Example:

Before:
Start odometer 1000 miles
Distance traveled 10 miles
End odometer 1010 miles

After:
Start odometer 1005 miles
Distance traveled 10 miles
End odometer 1015 miles

Changing the start odometer to 1005 miles won't affect the mileage (distance traveled), but it will update the end odometer.

(Note: using the Odometer Link can affect the odometer gap between the trips before or after the adjusted trip.)

Tags and Notes

Notes are descriptions of the trip or expense. This information can describe or provide additional information about the Trip or Expense.
Tags are shorter, but can also be descriptions. They're generally brief and frequently used, for example, project number, client name, etc. However, if there are only a few clients, or they have different mileage rates, it's better to use Activities.
Using Tags:
You can tag a trip with a single tag or use several tags separated by commas. You can reuse previous tags by opening the [+] popup list and selecting the tags you want. Any new tag you use will be added to this list for future use.
Deleting Tags:
If you want to remove unwanted tags, you'll need to remove them from all previously associated trips. If you used a specific set of tags for the prior year and you're done with that year's data, you can delete them from your device entirely.
Caution: first, make sure to back up your data. (How to Back Up Your Data)
To purge old trip data: navigate to Main Menu > Account > Data Backup > Purge Data > Purge Old Data > choose the fiscal year > check the records you want to delete > "Purge". This will clear all selected historical records.
