How to Enable and configure the Commute Mileage Exemption

Daily Commute Mileage Exemption

To configure the Daily Commute Mileage Exemption setting, it is available in the Manage Policies & Settings under Mileage Policies. Select the Commute & Distance module

The Commute Mileage section will allow you to select the Commute Program that you would like to use. Only one program can be implemented in the account at a time.

Select the Daily Commute Mileage Exemption option:

  1. N/A

  2. The total trip mileage of the day

  3. Both first and last trip of the day

  4. Only the first trip of the day

  5. Only the last trip of the day

Allow Users to adjust their commute deduction: Select this option if you have a requirement for the user to manage their own commute value. This is less common and should not be selected if you intend to manage this value.

Commute Deduction Options:

The commute deduction will deduct the commute values based on the miles or kilometers in the user's profile.

Total Trip Mileage of the Day

This commute setting will deduct the Commute Mileage value entered in the user profile from the total of the day's mileage. This value should represent the amount you will deduct for the commute. This is processed in Reporting and Upload to Payroll only and will not be visible on the trips page or standard exports.

Commute Value to Enter: Generally, the round-trip total for the commute for the day.

Example:

The user's commute value is 10 miles.

If the total driving for the user is over 10 miles for the day, then the mileage balance would be reimbursable.

If the total is less than 10 then the user will not have any reimbursable mileage for the day.

Both the first and the last trip of the day

This commute setting will deduct the mileage from the trip based on the deduction value up to the total of the trip; this is applied to both the first trip and last trip of the day. There is no carry-over for trips shorter than the deduction value.

Commute Value to Enter: the One-Way Trip Value for the Commute Mileage amount.

Examples:

If the user's commute value is 10 miles.

If the first trip of the day is over 10 miles, it will update their mileage on the web, reports, and uploads to reflect the balance of the trip

If the first trip of the day is less than 10 miles, it will deduct the entire trip but only up to the value of the trip. (If the first trip of the day is only 5 miles to their first stop, then it will deduct the entire trip but only 5 miles)

It will repeat this logic for the last trip of the day.

Trips will show up on the Mileage page on the web with a Net Mileage Column. This is the post-deduction value.

Only the First Trip of the Day

Will deduct the mileage from the trip based on the deduction value up to the total of the trip, this is applied to the first trip of the day. (there is no carry-over for trips shorter than the deduction value) The admin would enter the One-Way Trip Value for the Commute Mileage amount.

Examples:

If the user's commute value is 10 miles.

If the first trip of the day is over 10 miles it will update their mileage on the web, reports, and uploads to reflect the balance of the trip

If the first trip of the day is less than 10 miles it will deduct the entire trip but only up to the value of the trip. (If the first trip of the day is only 5 miles to their first stop then it will deduct the entire trip but only 5 miles)

Only the Last Trip of the Day

Will deduct the mileage from the trip based on the deduction value up to the total of the trip; this is applied to the last trip of the day. (There is no carry-over for trips shorter than the deduction value) The admin would enter the One-Way Trip Value for the Commute Mileage amount.

Examples:

If the user's commute value is 10 miles.

If the last trip of the day is over 10 miles, it will update their mileage on the web, reports, and uploads to reflect the remaining balance of the trip

If the last trip of the day is less than 10 miles, it will deduct the entire trip, but only up to the value of the trip. (If the last trip of the day is only 5 miles to their first stop, then it will deduct the entire trip, but only 5 miles)

Trips will show up on the Mileage page on the web with a Net Mileage Column. This is the post-deduction value.

Entering the Commute Mileage Value

You can enter the value into the user's profile under Manage > Users. Click on the user and choose the Mileage Tab. You are able to enter the commute value in this field and then save the profile. Calculations will be processed immediately.

If you need to add the commute value to multiple users, you can do so on the User Import when adding users by populating the Commute Mileage column or you can update the users after importing with the Import Commute Mileage sheet.

Import Commute Mileage Tool

To use the import commute mileage tool, navigate to Manage > Users > Import > Import Commute Mileage. Download the import template.

Complete the template with the TripLog account email, then the Home and Office address for the commute. This process will calculate the driving distance from the 2 locations and update the Commute Mileage field based on the import.

When importing, you can choose the One-Way or Round Trip options to identify if you want the one-way value or the round-trip value entered for the Commute Value. If you are using Total Trip Mileage, then use the round-trip option. For all others, you will use the One Way option.

If your account is configured with the Commute Mileage Effective Date, you can enter this value here to direct when the entry in the commute table will take effect.
