Managing Terminated Employee Accounts in TripLog
When an employee leaves your organization, managing their TripLog account and related data promptly and correctly is essential. This guide details the best practices for handling these accounts and ensuring data accessibility where necessary.
Overview of Terminated Employee Account Management
In TripLog, accounts of terminated employees can be deactivated if data collection is no longer needed. Additional considerations include handling any unresolved submissions or outstanding items before completing the account management process. The data will be accessible through reporting just user access and data creation by the user will be terminated.
Accessing Records for a Terminated Employee
If you need to access trip records for a terminated employee, you can generate reports and filter through any of the advanced filters. The employee and related items will not be available in quick filters or assignment dropdowns. If you need to create data under the terminated user the account would need to be temporarily activated.
Steps to Re-enable the Account:
Log in to your TripLog administrator account.
Navigate to the user management settings.
Locate the terminated employee’s profile.
Change their account status to "active."
This action restores access to the user account and will be an active license in billing if left active. be sure to disable the user if no longer needing to modify records.
Important Notes
Re-enabled accounts maintain all trip records previously associated with them. Ensure compliance with data retention policies when viewing or processing such records.
After accessing or processing the necessary data, disable the account as needed to maintain effective user management and avoid additional billing.
